U.S. Facilities, Inc., a consolidated building maintenance services company, is currently accepting resumes for the position of Administrative Assistant for the Atlantic City, NJ area.

The Administrative Assistant will provide administrative and clerical support services to the Facility Manager and other team members for facilities operations.

Primary Responsibilities

  • Responsible for processing administrative requirements of department such as answer phones/process mail/ supply ordering.
  • Manage calendars and schedule and make arrangements for meetings as requested, representing department to internal and external clients.
  • Processes purchase orders, invoice payments, etc. Supports managers with purchasing support as needed. Tracks purchase orders and invoices for ordering and complete payment. This includes assisting with department budget forecast and tracking project and framework purchase orders.
  • Reviews and prioritizes work requests utilizing a Computerized Maintenance Management System (CMMS). Responsible for tracking, creating and closing work orders upon completion.
  • Confers/communicates with work order requesters.
  • Coordinates and conducts scheduling w/ maintenance teams and customers for scheduling planned maintenance activities.
  • Works with team members to order material, schedule/coordinate work and send maintenance notifications.
  • Maintains group training records, inspection documentation, equipment list, equipment use records, and coordinates maintenance training schedule.
  • Manages site-wide notifications.
  • Other duties as assigned.

Qualifications

  • Experience in Administration or Property Management within a fast-paced office environment
  • Attention to detail to ensure accurate data entry and reporting
  • Understanding of maintenance planning and scheduling activities.
  • Strong organizational skills, the ability to problem solve and prioritize multiple tasks.

Communication Skills

  • Ability to prioritize while remaining flexible and adapting as priorities change
  • Ability to evaluate and improve existing business processes with change in environment
  • Excellent communication and customer service skills and the ability to interact with a broad range of stakeholders

Financial knowledge

  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

EDUCATION and EXPERIENCE

  • High school diploma or general education degree (GED) required. Minimum five (5) years of related experience.
  • Knowledge of Microsoft Office Suite products. Ability to type 45-50 WPM.
  • Ability to multi-task and work in a fast-paced environment
  • Time Management skills
  • Expertise with Microsoft office suite (especially PPT, Excel, and Outlook)
  • Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
