Position Description

The Administrative Assistant will perform administrative support duties for the office manager and staff of Visiting Physicians Association by implementing administrative systems, procedures, and policies while monitoring administrative projects.

Essential Duties and Responsibilities

  • Completes daily reports as directed by Practice Manager
  • PDMP reporting for state if a delegate is an option
  • Runs weekly reports for tracking purposes in EMR system
  • Knowledge of Quality Measures and ability to update excel spreadsheet as directed by Practice Manager
  • Ability to screen, train and on board all new staff
  • Coordinates and follow through of mandatory staff training
  • Ability to use and track employee timecards through electronic measures
  • Responsible for supply ordering for the lab, office, fed-ex and diagnostics as needed; send all packing slips to corporate purchasing department
  • Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the Practice manager
  • Supports the community liaison roles while they are out of the office
    • Answer patient questions concerning insurance issues and services offered
    • New patient intake process, follows through to ensure patients are scheduled in a timely manner
    • Work to obtain prior authorization when necessary
  • Review all insurance sets, collaborates with intake to ensure patients can receive VPA services as requested
  • Obtains authorization or provides a 30 days' notice to cancel services as a result of insurance issues
  • Assisting PM to ensure the practice is operating in set budget
  • In absence of Practice Manger - conducts provider meeting and attends meetings with internal and external customers to maintain professional relationships in absence of PM
  • Provide backup and or assist for office staff as requested by Practice manager (MA, PCC, Scheduler, and Community Liaison) CL support: prior authorizations are primarily handled by Receptionist. AA to offer support or perform in the absence of Receptionist
  • All other duties as assigned

PHYSICAL REQUIREMENTS/WORKING CONDITIONS

  • Full range body motion including handling/lifting patients
  • Ability to drive up to 150 miles daily in urban and/or rural settings
  • Ability to lift/carry items weighing up to 50 lbs
  • Ability to read and understand road maps
  • Sit or stand for long periods of time

REQUIRED Knowledge, Skills, and Experience

  • High School Diploma/GED
  • Active CPR Certificate
  • Must maintain a valid driver's license and good driving record
  • Certificate of Completion from an accredited Medical Assistant, Phlebotomy, related medical education/training program or 2 years of experience serving as a Medical Assistant
  • One-Two years of experience in an administrative role
  • Strong computer skills including but not limited to navigation of EMR, Microsoft Office, and Windows
  • Knowledge of Medical terminology
  • Must be able to relate professionally and positively to physicians/practitioners and staff with excellent communication, interpersonal and management skills
  • Must be able to maintain confidentiality and follow HIPPA guidelines

Preferred Knowledge, Skills and Experience

  • LPN License
