Adecco is assisting a local client in recruiting for a current Procurement Administrative Assistant job in Rockaway, NJ. This is a temporary to hire opportunity. Position Summary:

The Administrative Assistant reports to the VP Administration. They are responsible for communicating with vendors, taking care of purchasing tasks, coordinate shipping, providing customer service via phone and email, assisting with order entry, as well as quotes, and help with minor accounting duties and data entry. The job is very versatile and offers insights into different administrative departments.

Primary Responsibilities:

  • Purchasing tasks
  • Performing a variety of internet research functions (purchase prices, new suppliers, advertising possibilities, costing - trade show shipments)
  • Make inventory additions and deductions, keep inventory in check
  • Data entry for production planning process
  • Coordinate logistics, prepare shipping documents and schedule shipments
  • Assistance in general office tasks as needed
  • Answer and direct incoming phone calls
  • Take payment information and other pertinent information such as addresses and phone numbers
  • Reach out to customers to verify account information and update customer information in the database
  • Assisting with quotes and order confirmations to customers
  • Identify and assess customers' needs to achieve satisfaction
  • Help resolve customer complaints via phone or email
  • Build sustainable relationships of trust through open and interactive communication
  • Minor accounting duties including invoicing customer, preparing check deposits, assist with open statements
  • Position Requirements:
  • Bachelor's Degree preferred
  • Experience in supporting customers via phone and email
  • Proficiency in Microsoft programs (Word, Excel, etc.)
  • Basic math skills required (converting inches to feet; quoting layouts)
  • Experience with a type of CRM software (ERP, SAP, etc.) preferred
  • Exceptional communication and organization skills
  • Fluent in English language - required! ; proficiency in Spanish (speaking, reading & writing) - preferred
  • This is a temporary to hire opportunity.
