Job Description
A private family office seeks an experienced, and detail-oriented Executive Personal Assistant to support and manage the day-to-day of a Sr. Executive and support their family office. To be successful in this role, one should be well-organized, thorough, flexible, be able to act with limited guidance, and are comfortable in a fast-paced environment.
  • Act as primary gatekeeper and liaison for the principal and family members
  • Help build, manage, and operate various administrative functions
  • Proactively identify issues in the residence and attend to them on the principal's and company's behalf, such as repairs, maintenance, stocking adequate food, beverages, and supplies
  • Coordinate travel and prepare detailed itineraries, to include commercial and private charter flights, hotels, and transfers as well as completion of documentation as required for entry of foreign countries
  • Manage the Principal's daily calendar, including making appointments and prioritizing the most sensitive matters
  • Help plan and manage events to include working actively at the events with a focus on guest experience, staffing, and time management
  • Research as needed for various projects, events, trips, and purchases
  • Management of various memberships of the principal and company
  • Mail pick-up and sorting, as well as occasional packing, shipping, and tracking of various items
  • Maintain an archive of contracts for work performed at company properties and tracking schedule for various projects
  • Sourcing of vendors and contractors; this includes assessing service providers on an ongoing basis to ensure they are acting in the best interest of the principal and company
  • Coordinate and complete various errands, source, and order specialty items
Schedule: Typical schedule is Monday-Friday 9 AM - 6 PM with 24/7 availability over text or email.
Compensation: Salary is generous but final offers depend on experience (90K )

Job Requirements:
  • Minimum 4-year college degree
  • Minimum of 3 years related experience supporting prominent individuals; both in personal or business capacities
  • Excellent references from both current and previous employers
  • Prioritize executive tasks and multi-task effectively
  • Strong communication skills, both written and verbal
  • Proficiency in all areas of Microsoft Office and Mac OSX; must be very tech-savvy
  • Experience planning, managing, and executing events and gatherings
  • Professional mindset and the utmost discretion
  • Ability to work independently and as part of a team
  • Detail-oriented with exceptional organizational skills
  • Flexibility with hours and schedule; available to work overtime as needed
  • Valid US work authorization
  • Valid Driver's License
