We seek candidates who will provide senior level administrative support for our client's philanthropic fundraising programs. This position supports the Director of Planned Giving, including coordinating complex planned gifts and charitable contributions representing a significant amount of annual philanthropic revenue. You will also provide administrative support for major gift fundraising staff; and assists Advancement Operations division with gift processing, data entry and tracking confidential, detailed donor and financial information regarding charitable contributions to advance the mission of our client.

Assists the Director of Planned Giving in tracking valuations on recorded planned and estate gifts. Maintains all planned gift files. Manages the Director of Planned Giving's calendar. Schedules appointments with donors, advisors, and prospects. Assists with marketing and promoting the planned giving program, as well as donor relations and stewardship. Assists with special gift acceptance that will include charitable trusts, gift annuities, bequests, stock gifts, IRA distributions, and others in accordance with IRS regulations. Processes and reports obituaries. Drafts and produces appropriate acknowledgment letters to donors.
Processes charitable donations to the Client's foundations which includes accurate entry of donor information for major gifts, grants and high volume of annual fund gifts. Drafts and produces appropriate acknowledgment letters to donors.
Assists Advancement Department with planning and coordination of cultivation and recognition events, department operations, and special projects.
Provides senior level administrative support to the Advancement fundraising staff which includes, but is not limited to, assisting with scheduling donor visits, project management, digital communications, coordinating fiduciary documents and statements, digital file storage, preparing visit/event briefings, etc.

Working hours: 8:00 AM - 5:00 PM

Advanced MS Word, PowerPoint, and Outlook skills; Intermediate Excel skills; administrative support skills.
Skilled in Raisers Edge or other business intelligence software; knowledge of charitable trusts, gift annuities, bequests, stock gifts, and IRA distributions.


4-7 years

Experience with Raiser's Edge is preferred.
5 years experience as a senior level administrative assistant, preferably in a non-profit environment.
